Privacy Policy

• Contact form: your name, email, phone number (optional), enquiry type and message.

• Parent and guardian accounts: email, password (stored securely by our sign-in provider), full name, mobile number, relationship to the child, and link requests you make.

• Junior accounts: email, full name, mobile number, and optional nickname, playing side and profile photo.

• Player and roster information supplied through event entries, such as name, category, age group, club, partner, and results.

• Online event registration: the player's name, date of birth, gender and division, partner details (name and their parent's email), T-shirt sizes and colours, amounts due, payment status, and the confirmations ticked at registration.

• Tournament data such as draws, scores, rankings, and match history.

• Basic technical information needed to run the site securely, such as sign-in sessions.

• To run events: entries, seeding, draws, scheduling, live scoring, results and rankings.

• To operate accounts, verify parent-child links and send account emails (invitations, approvals, password resets).

• To reply to enquiries sent through the contact form.

• To keep juniors safe and moderate community features.

• Junior player cards are private by default. A card, and separately its photo, only appear publicly when a linked parent or guardian switches this on.

• Every parent-child link is reviewed and approved by the tour before a guardian can manage a card.

• Community features are off unless the tour opens them and a guardian enables them for their child. Juniors cannot send private messages or free text.

• Consent changes and link decisions are recorded so we can show who allowed what and when.

• Draws, fixtures, live scores, results and published rankings show player names. Rankings never show nationality.

• Event photos and videos published in the media gallery.

• A junior's card and photo only when guardian consent is given.

• We do not sell personal information.

• We use trusted service providers to host the website, database and sign-in, and to deliver emails. Optional sign-in with Google, Microsoft or Apple shares your basic profile with us under those providers' terms.

• We may disclose information where required by law.

• Access is restricted by role. Staff only see what their role needs; for example, scorers can only score matches.

• Medical notes and identity documents supplied with entries are never published.

• Information may be processed on servers outside South Africa by our hosting providers, with safeguards required by POPIA.

• Parents, guardians and juniors can permanently delete their own account at any time: sign in, open Settings, and choose Delete my profile.

• Deleting a parent account removes your sign-in, details, link requests and child links. If no other guardian is linked, your child's card becomes private and photo consent is withdrawn.

• Deleting a junior account removes the sign-in and clears the nickname, playing side and uploaded photo.

• Official tournament results and rankings form part of the competition record and are kept.

• Under POPIA you may ask to access, correct or delete your personal information, object to processing, or withdraw consent. Email info@sagrandtour.co.za.
